Overview

Un Millón de Predicadores (UMP) operates a digital ministry platform serving pastors and churches through an online diagnostic and pastoral training journey.

The process begins with an intake journey on the UMP website and continues through a detailed 32-question Assessment designed to evaluate churches and assign a corresponding Diagnostic Level, recommendations, and next steps.

UMP approached CRMFolks to connect its assessment and marketing journey in Kartra with Zoho CRM. The goal was to automate data transfer, establish connected records for churches and pastors, retain assessment information, and create a structured diagnostic and fulfillment process.

    Project Overview

    UMP wanted to create an automated digital pipeline that could capture information from pastors and churches, process Assessment responses, calculate diagnostic results, and maintain all relevant information inside Zoho CRM.

    The solution connects Kartra → Make.com → Zoho CRM, with Make.com acting as the integration and automation layer.

    Business Challenges

    Data Fragmentation

    The UMP 32-question Assessment generates a significant amount of information, including responses, scores, Diagnostic Levels, recommendations, and next steps.

    This information needed to move from Kartra into a structured CRM environment where it could be accessed and managed beyond the initial Assessment journey.

    Relational Data Management

    UMP needed to maintain relationships between:

    • Churches
    • Pastors/Contacts
    • Assessments

    Rather than storing this information as isolated records, the solution needed to connect the relevant church, pastor, and Assessment records within Zoho CRM.

    Assessment Abandonment

    Users could begin the diagnostic journey without completing the full 32-question Assessment.

    UMP wanted to retain basic information from these users so they could potentially be followed up with later.

    This created the requirement for a dedicated Pre-Diagnóstico stage within the CRM architecture.

    Complex Assessment Routing

    The Assessment uses different score ranges to determine diagnostic results and corresponding result or success-page routing.

    The existing Kartra Assessment also contained embedded church and pastor information, making changes to the existing Assessment flow technically sensitive.

    Multi-Platform Integration

    The solution needed to reliably connect:

    Kartra → Make.com → Zoho CRM

    while preserving the existing Assessment automation and ensuring that the information collected through the front-end journey reached the correct CRM records.

    CRMFolks Solution

    CRMFolks designed a connected CRM and automation architecture using Zoho CRM, Make.com, Kartra, and Stripe Sandbox.

    The solution centralizes Assessment and diagnostic information in Zoho CRM while using Make.com to process and transfer data from the Kartra Assessment.

    Kartra was configured as the primary interface for the 32-question diagnostic Assessment.

    This reduces manual data handling and creates a structured flow between the Assessment platform and CRM.

    This allows each pastor/contact to be associated with the relevant church and Assessment.

    Duplicate Prevention

    The Make.com automation includes duplicate-checking logic to prevent unnecessary duplicate CRM records.

    The documented matching criteria include:

    • Email
    • Church Name

    Incoming Assessment information is checked against existing CRM information before new records are created.

    This helps maintain cleaner and more reliable CRM data.

    Pre-Diagnóstico Stage

    CRMFolks designed a Pre-Diagnóstico stage to capture basic information before the user enters the core 32-question Assessment.

    The intended information includes:

    • First Name
    • Email

    The purpose is to retain users who begin the diagnostic journey but do not complete the Assessment.

    Current Status

    The core tracking modules have been constructed in Zoho CRM.

    The Pre-Diagnóstico process is currently in the technical validation phase, pending live form redirect testing and end-to-end webhook confirmation.

    Commercial Fulfillment Subsystems

    Free / KIT Flow

    The implementation includes an automated fulfillment process for the free/KIT journey.

    The workflow generates a Pedido (Order) for the default KIT INICIAL and flags the church status as:

    Free

    This connects the diagnostic journey with the corresponding fulfillment process.

    Paid / Stripe Flow

    The paid fulfillment process is currently integrated within a Stripe Sandbox testing architecture.

    During mock checkout validation, the workflow successfully:

    • Generates a finalized Pedido
    • Updates the structural church flag to Paid

    This provides a foundation for the paid fulfillment workflow while the payment process is being validated.
