Hinge Outlet operates in the hardware wholesaling and retail e-commerce industry, managing a large and diverse product catalog across multiple sales, inventory, and supplier platforms.

The business was using Ecomdash, Shopify, Amazon, and Zoho Inventory, with Shopify and Amazon already connected to Zoho Inventory. As the product catalog continued to grow, maintaining accurate product, vendor, SKU, cost, and inventory information across these systems became increasingly complex.

Hinge Outlet partnered with CRMFolks to organize and update its existing Zoho Inventory environment while preserving its established e-commerce integrations.

The project focused on improving product data accuracy, vendor management, SKU matching, cost mapping, MPN standardization, reorder management, physical inventory updates, and purchasing workflows.

Project Overview

Hinge Outlet needed a scalable way to bring relevant product and supplier information from Ecomdash into Zoho Inventory without creating duplicate products or disrupting its existing Shopify and Amazon integrations.

Instead of importing the complete Ecomdash catalog, CRMFolks analyzed the existing products in Zoho Inventory and matched them against Ecomdash using SKU information.

This approach allowed the project to focus on updating existing Zoho Inventory products while excluding products that were not already part of the existing Zoho Inventory setup.

The implementation also established a foundation for more efficient inventory management, purchasing, receiving, replenishment, and future inventory analytics.

Project Objectives

The primary objectives were to:

  • Consolidate vendor information in Zoho Inventory
  • Match products between Ecomdash and Zoho Inventory using SKU
  • Assign Preferred Vendors to products
  • Standardize MPN information
  • Update product Cost Price
  • Standardize product units
  • Establish reorder point management
  • Identify drop-ship products
  • Support bulk inventory adjustments
  • Improve purchasing and receiving workflows
  • Improve inventory reporting
  • Establish a foundation for future inventory forecasting

Business Challenges

Managing Vendor Information Across Systems

Hinge Outlet’s vendor information was primarily available in Ecomdash, while product and inventory operations were being managed through Zoho Inventory.

The business needed vendor records and relevant supplier information to be organized within Zoho Inventory so that products could be associated with the correct vendors and purchasing processes could be managed more effectively.

Managing a Large Product Catalog

The client was managing thousands of products across Ecomdash and Zoho Inventory.

The initial data analysis identified:

Because Shopify and Amazon were already connected to Zoho Inventory, the client did not want the unmatched Ecomdash products imported.

The challenge was therefore not simply importing data—it was accurately identifying which existing products should be updated while preventing unnecessary duplication.

Assigning the Correct Preferred Vendor

Products needed to be associated with their appropriate suppliers so that purchasing and replenishment could be managed more effectively.

Supplier information available in Ecomdash and other connected systems needed to be mapped into the Preferred Vendor field in Zoho Inventory.

Where direct supplier information was unavailable, SKU-based business rules could be considered.

For example:

NAT- → Natman Vendor

This provided a scalable approach for assigning vendors across a large product catalog.

Standardizing MPN Information

The client also needed consistent Manufacturer Part Number (MPN) information.

MPN data was available through Ecomdash’s Supplier SKU/MPN information, but some products did not have a direct MPN value.

A defined fallback methodology was therefore required:

  • Use Supplier SKU/MPN from Ecomdash when available
  • If MPN was unavailable, use the portion of the SKU after the first hyphen
  • For Penrod products, use the complete SKU as the MPN

This created a consistent framework for product identification.

Updating Product Cost Data

Cost information existed across different fields and needed to be mapped correctly into Zoho Inventory.

The client confirmed that the required mapping was:

Ecomdash Cost → Zoho Inventory Cost Price

Warehouse Cost and Selling Price were not used for this update.

This ensured that the product cost information in Zoho Inventory reflected the intended source data.

Establishing Reorder Management

With a large product catalog, manually identifying products that needed replenishment would be inefficient.

Hinge Outlet needed a structured way to establish reorder points, identify low-stock products, associate them with vendors, and prepare purchasing actions.

Identifying Drop-Ship Products

Some products should not be stocked in the warehouse because they are fulfilled through drop-shipping.

The client needed a reliable way to distinguish these products from products that should be maintained as warehouse inventory.

An initial group of 22 Johnson Hardware products was identified for drop-ship treatment.

Maintaining Inventory Accuracy

The client wanted Zoho Inventory quantities to reflect actual physical stock.

Because the catalog contained thousands of products, manually adjusting individual inventory records was not practical.

The client planned to conduct physical counts vendor by vendor and provide the actual quantities for bulk inventory updates.

Managing Shared Inventory Across Sales Channels

Some products could have different SKUs on Shopify and Amazon while representing the same physical inventory.

This created a requirement for future SKU mapping between sales channels so that shared inventory could be managed accurately.

The client decided to address this activity after the formal launch.

CRMFolks Solution

CRMFolks approached the project as a structured Zoho Inventory data management and inventory optimization initiative, focusing on updating the existing Zoho Inventory environment rather than rebuilding it from scratch.

The solution combined data analysis, SKU matching, bulk updates, product standardization, vendor management, inventory processes, and future analytics planning.

Vendor Data Preparation

CRMFolks prepared and imported available vendor information into Zoho Inventory.

The vendor information included:

  • Vendor name
  • Email address
  • Contact details
  • Other available supplier information

The imported vendor records were reviewed against the supplier information available in Ecomdash.

Status Completed

This provided Hinge Outlet with a more centralized vendor database within Zoho Inventory.

SKU-Based Product Matching

CRMFolks compared Ecomdash products against existing Zoho Inventory items using SKU matching.

The analysis identified 2,853 products that already existed in Zoho Inventory.

Rather than importing the entire Ecomdash catalog, CRMFolks focused on updating these matched products.

The remaining 5,959 unmatched Ecomdash products were excluded from import based on the client’s direction.

This approach helped prevent unnecessary duplicate products and protected the existing Shopify and Amazon integration structure.

Preferred Vendor Assignment

For matched products, supplier information was mapped to the Preferred Vendor field in Zoho Inventory.

The agreed mapping was:

Supplier → Preferred Vendor

Bulk updates were used to efficiently update product records across the large catalog.

Where supplier information was unavailable, SKU-prefix rules could be applied to determine the appropriate vendor.

This created a more structured relationship between products and suppliers, supporting future purchasing and replenishment workflows.

MPN Standardization

CRMFolks established standardized rules for populating MPN information.

The implementation followed three primary rules:

  1. Use the Supplier SKU/MPN information available from Ecomdash.
  2. If MPN information was unavailable, use the portion of the SKU after the first hyphen.
  3. For Penrod products, use the complete SKU as the MPN.

The applicable product records were then updated according to these rules.

This helped establish greater consistency in product identification and supplier-related product information.

Cost Price Update

The product cost mapping was finalized based on the client’s requirements.

The agreed mapping was:

Ecomdash Cost → Zoho Inventory Cost Price

The matched products were updated using the Ecomdash Cost value.

The Warehouse Cost field and Selling Price field were intentionally excluded from this update.

This ensured that Zoho Inventory’s Cost Price field contained the intended product cost data.

Unit Standardization

To create consistency across the product catalog, Hinge Outlet requested a standard default unit.

The agreed standard was:

Unit = pcs

The matched products were updated accordingly.

Standardizing the unit of measurement helped create greater consistency across product records and future inventory transactions.

Drop-Ship Product Management

CRMFolks proposed a dedicated Drop-ship Only field to identify products that should not be stocked in the warehouse.

This provides a clear method for distinguishing drop-ship products from products that require warehouse inventory.

As part of the initial requirement, 22 Johnson Hardware products were identified for drop-ship treatment.

The field can also be used for future bulk updates as the client’s drop-ship rules evolve.

Reorder and Low-Stock Management

CRMFolks reviewed Zoho Inventory’s native reorder functionality and established a structured approach for replenishment.

The proposed process includes:

  1. Set product-level Reorder Points
  2. Assign Preferred Vendors
  3. Enable reorder-level notifications
  4. Identify products that have reached their reorder level
  5. Review products requiring replenishment by vendor
  6. Create draft Purchase Orders for required products

This gives Hinge Outlet a structured process for identifying inventory that needs replenishment and moving from low-stock identification toward purchasing.

Bulk Physical Inventory Updates

To support physical stock counting, CRMFolks established a bulk inventory adjustment process.

Instead of manually changing inventory quantities product by product, Hinge Outlet can conduct physical counts one vendor at a time and provide the required adjustment information.

The primary data required includes:

  • SKU
  • Quantity Adjusted

The information can then be uploaded using the appropriate Zoho Inventory import format.

This creates a scalable approach for bringing physical inventory counts into the system.

Purchasing and Receiving Workflow

The project also established the foundation for moving purchasing and receiving activities into Zoho Inventory.

The planned workflow includes:

Create Purchase Order → Send to Vendor → Confirm Vendor Receipt → Receive Products → Update Inventory

This allows purchasing activity and received quantities to be connected more closely with inventory management.

Shared Inventory and SKU Mapping

The project identified an additional requirement around products that represent the same physical inventory but use different SKUs across Shopify and Amazon.

Because these products may represent the same underlying stock, appropriate SKU mapping will be important for maintaining accurate shared inventory across sales channels.

This activity was intentionally planned for a later phase after the formal launch.

Inventory Reporting

CRMFolks reviewed the native inventory reporting and reorder capabilities available within Zoho Inventory.

Hinge Outlet can use:

  • Reorder Points
  • Preferred Vendors
  • Low-stock reports
  • Vendor-wise reorder items
  • Draft Purchase Orders

Together, these capabilities provide a foundation for monitoring inventory levels and managing replenishment more efficiently.

Advanced Analytics and Forecasting

For more advanced inventory reporting and forecasting requirements, CRMFolks recommended Zoho Analytics as a future extension of the solution.

A Zoho Analytics integration with Zoho Inventory can provide deeper visibility into areas such as:

  • Historical sales
  • Inventory movement
  • Stock availability
  • Reorder trends
  • Inventory performance
  • Demand forecasting

This provides a path for Hinge Outlet to move beyond operational inventory management toward data-driven inventory planning and forecasting.

The next stage can further extend this foundation through shared SKU mapping across sales channels and Zoho Analytics-powered inventory reporting and demand forecasting.
